Agency Marketing & Operations Assistant

Reputation Ink is a woman-owned marketing and public relations agency focused on B2B professional services firms, including law firms and architecture, engineering and construction (AEC) firms. As a fully remote agency, all Rep Ink team members work from home offices across the United States and Canada, serving clients nationwide.
We are looking for a sharp, proactive, detail-obsessed Marketing & Operations Assistant to join our team, help build our brand, drive inbound leads and support the agency’s operations.

Who We’re Looking For
Our ideal candidate:
- Relishes the idea of working independently from a home office
- Works well with a tight-knit, friendly and supportive group of colleagues
- Understands inbound marketing, content marketing and public relations, particularly in an agency or professional services environment
- Has excellent writing and editing skills
- Has experience developing story angles, pitching the media and securing interviews
- Is adept at marketing and project management technology platforms, including email marketing, WordPress, CRM software, AI platforms, social media, project management, timekeeping and other collaboration platforms
- Is an excellent communicator and can build relationships with colleagues, vendors and partners in a remote environment
- Is incredibly detail-oriented, producing accurate, polished work and responding well to editorial feedback
- Is highly organized and deadline-focused (project management software experience is a plus)
- Has completed internships at a marketing or PR agency or in-house at a professional services firm or worked as a journalist and is looking to enter the marketing/PR field
- Holds a bachelor’s degree in communications, journalism, marketing or related field
What the Job Entails
This role will work directly with the agency’s Principal & President to manage Reputation Ink’s marketing and PR efforts, building its reputation in the legal, AEC and other B2B professional services industries and generating inbound leads for the agency’s services. It will also support the agency’s Vice President, Operations, with various operational tasks.
Marketing Responsibilities
Responsibilities include coordinating the agency’s:
- Owned content: Managing the creation of blog posts and long-form content (e-books) and overseeing the editorial calendar
- Podcast: Booking guests, conducting pre-interview calls, developing show notes and working with the video editor to produce clips for social media
- Email marketing: Managing the creation and distribution of approximately four email sends per month
- Social media: Writing posts and generating images and videos
- Website: Posting to the agency’s WordPress website
- Public relations: Pitching industry media, including legal, AEC and other B2B publications, placing bylined articles and securing interviews
- Awards: Overseeing the calendar of awards and managing the submission process
- Marketing collateral: Managing the production of agency collateral such as brochures, case studies, fact sheets and more
- Proposals: Assisting the agency Principal & President with proposals and RFP responses
- Conferences: Coordinating sponsorships and booths
- Speaking engagements: Managing a calendar of speaking opportunities, submitting proposals and supporting speakers with promotional materials
- Other marketing and PR tasks as needed
Operations Responsibilities
While the role will be primarily focused on agency marketing, it will also support the agency’s Vice President, Operations, with managing the agency’s:
- Annual in-person retreat: Organizing team-wide travel logistics and communicating these details to team members
- Gifting and cards program: Ensuring client gifts are timely and personalized
- Platform hygiene: Regularly confirming that Rep Ink’s tools are using the most up-to-date information
- Employee resource documentation: Supporting training and information distribution efforts by keeping process documents accurate and organized
- Reporting: Using billable data to report on team-wide utilization
- Invoicing: Developing month-end summaries for clients
While this is not a client-facing role, there may be client work at times, and the individual may progress to client work if appropriate.
Salary and Benefits
Salary range for this role is $45,000 – $60,000, with participation in an annual profit-sharing bonus program.

Interview Process
If you appear to be a strong candidate, our Vice President of Operations will schedule an initial interview to get to know you. Then, because we place a high degree of emphasis on strong writing skills, we will provide you with two to three paid freelance writing assignments. The final phase is another interview with additional members of our leadership team.
